Transaction guide
This is the transaction guide of WHITRUST Inc. It explains our transaction flow, invoicing, payment and legal compliance for production partners (editors and contractors) and for clients who want to check how we do business.

Quotation
We agree on the scope of work, fee and deadline in a quotation.
Purchase order
We state the terms of the transaction — scope of work, fee, payment date and so on — in writing.
Production
Acceptance
We review the deliverables and confirm acceptance.
Invoice
An invoice is issued after acceptance.
Confirming orders
When we place an order, we confirm the scope of work, schedule, fee and scope of retakes in writing at the time of ordering.

Cancellation
If work is cancelled after an order is placed, for reasons on our side or the client’s, we pay for the work carried out up to the point of cancellation. The amount is decided through discussion based on progress.
If cancellation is caused by a natural disaster or other reasons for which neither party is responsible, we will discuss the situation in good faith.
Invoicing and payment

How we communicate
We communicate asynchronously and do not expect immediate replies.

Compliance with the Freelance Act
We comply with the Act on Ensuring Proper Transactions Involving Specified Entrusted Businesses (the Freelance Act), which took effect in Japan on November 1, 2024.
When we entrust work to freelancers, we state the terms of the transaction — scope of work, fee, payment date and so on — in writing or by electronic means. We pay by a payment date set as early as possible and within 60 days of receiving the deliverables.
